Personal Data Processed in the Course of Communication and Service Provision

We collect the information you provide to us

  • when you contact us (via contact form, chat service, email, or phone),
  • when you order our services,
  • when you register as a user on the support portal, or
  • when you apply for a job with us.

This includes general personal information, such as name and contact information, and, if applicable, information about your position or role with the organization on whose behalf you are contacting us.

If you are a sole proprietorship ordering fee-based services, we also request your preferred payment method and billing address (for legal entities, such financial information is considered non-personal information). If you apply for a job with us, we collect your resume and other information about your qualifications that you submit to us as part of your application file.

We also process personal data that we receive from third parties. This regularly includes personal data that we receive in correspondence or meetings with customers, suppliers or other business partners, e.g., your name and details of your employment with the relevant customer, supplier or business partner.

To the extent necessary to achieve the purposes described in this privacy policy, we also collect general personal data from publicly accessible registers, websites, or platforms (e.g., to verify your signature authorization) or by obtaining information from third parties (e.g., for reference purposes in the application process, if you consent to this).

Provision and Use of our Website and Support Portal

Use for information

You can find out about copebit and our range of services on our website without telling us who you are.

As with any connection to a web server, the server on which we have the website provided automatically logs and stores certain technical data for a short time. This includes the IP address and operating system of your device, the date and time of use, and the type of browser you use to access the website.

Use of our support portal

We operate a support portal with a ticketing system to handle support requests from our customers. For the support portal, we use the support tool “Freshdesk” from the provider Freshworks. This external service provider makes the support portal available to us on a Freshworks server in the EEA.

When you register as a user on the support portal, you provide us or our external service provider Freshworks with your first name, surname, and email address. Alternatively, you have the option of logging in using sign-in services from Google (Gmail) or Facebook (Facebook Connect). If you choose this type of login, the sign-in services will authenticate your identity and transmit your first name, last name, and email address to us or to our external service provider Freshworks. Please also refer to the data protection declarations of the provider of the respective sign-in service.

Web analytics

We use web analysis services (currently Google Analytics) to evaluate the use of the website and to obtain information for its optimization. The web analytics service we use collects and stores user data using cookies. Before they are transmitted to a server outside Switzerland/EU/EEA, the requesting IP addresses are shortened.

Advertising technologies

Resources from external websites

We include content and technical resources from external servers on our website to show you the location of our office. The content from external servers is information about our office location (with Google Maps) and video content (embedded with YouTube). Technical resources (reCAPTCHA) we use to improve the performance and security of the website. When retrieving these resources, the operator of the external servers learns your IP address and/or certain marginal data that are necessary for the use of the servers of the external operator.

Note on the use of cookies

We use cookies, tags, and similar technologies on our website to provide you with the best possible user experience and to help us improve the website. Cookies are text files that are downloaded to your computer or mobile device when you visit a website or use an app.

Some of the cookies we use are necessary to provide certain features (e.g., language settings, the contact form, and the HubSpot chat service) and content (e.g., location information and videos) of the website. In addition, we use cookies to allow us to analyze the use of the website, optimize our services, and use advertising technologies. You can instruct your browser not to accept cookies or to prompt you each time before a cookie is set. You can also delete cookies on your device by using the appropriate function of your browser.

The social media providers collect and analyze usage data such as the number of visitors and demographic information about the visitors to our social media pages. We receive evaluations from the social media providers based on this data. These contain only aggregated or otherwise sufficiently anonymized data. Only the respective provider can identify you based on the usage data collected. Therefore, please observe the data protection information of the respective provider.

Use and Optimization of our Newsletter

If you are interested in our newsletter, we collect the information you provide to us. This includes general personal data such as first name, last name, and email address.

We use analytics services to measure and analyze the use of our newsletter. The analysis services collect and analyze usage data such as the number of newsletter recipients who have opened the newsletter or clicked on certain articles. We receive evaluations based on this data. These allow us to optimize our newsletter and provide you with content that interests you.

You can inform us at any time that you do not wish to receive our newsletter in the future. To do so, please use the unsubscribe link at the end of the newsletter.
